Course Equivalency Academic Approval Form (AAF)

The Study Abroad Course Equivalency Academic Approval Form (AAF) must be completed by students going on SJSU Exchange, CSU IP, ISEP, NSE, SSA programs before studying abroad for all major, minor, elective requirements. Without signatures on all of the classes you plan to take abroad or away, your grades will not appear on your MySJSU or MyProgress. It is your responsibility to make the appropriate corrections if this form is denied. All questions should be directed to spartansabroad@sjsu.edu

For Major, Minor, Elective Approval

 
  • Step 1: Gather Documents

    It is your responsibility to submit complete and accurate information on the Academic Approval Form (AAF) in Step #2. Review the following tips: 

    1. Review your MyProgress for the outstanding degree requirements that you could fulfill abroad? Write down the course numbers and course titles for the SJSU requirements you wish to fulfill abroad.
    2. Meet with your academic advisor to discuss your academic plan. 
    3. Search the Course Equivalency Database (CED) for pre-approved courses. You will still submit your own Academic Approval Form (AAF), but the CED provides a good overview of pre-approved courses.
    4. Download course information (course number, titles, syllabus) from your host university's Academic tabs on the Spartans Abroad Portal.  It is your responsibility to provide all relevant course information particularly the course syllabus to help the faculty with the review/approval process.
    5. Review the Credit Conversion chart to know what the abroad course unit converts to at SJSU.
    6. Write down the name and email address for the faculty reviewer (usually your faculty advisor for all colleges except for business students who need to submit AAFs to the assigned Course Coordinator for each business requirement)

    Attention Business Students: All AAFs must be submitted to the appropriate Course Coordinator listed on this directory.

  • Step 2: Fill Out AAF Docusign

    It is your responsibility to submit a complete AAF. Please review the tips below before clicking here for the Docusign. 

    Power Form Tips: The first thing you'll see on the DocuSign form is the Power Form where you'll need to enter the name and email of the right faculty reviewers.  

    • Student Name: Add your full name and email address
    • Major Advisor/Course Coordinator: Add the full name and email IF you are submitting major requirement courses for approval.
    • Minor Advisor/Course Coordinator: Add the full name and email IF you are submitting minor requirement courses for approval. 
    • All general university elective submissions will be automatically routed to the Study Abroad & Away office for guaranteed approval.
    • Click "Sign Now"

    Academic Approval Form (AAF) Tips: There are 3 sections on the AAF (Major, Minor, and General University Electives). Be sure to complete the right section depending on your needs. 

    • Be sure to enter the Host University's course number, course titles, units, and attach the syllabus for each course. 
    • Be sure to enter your proposed SJSU course equivalent including SJSU course number, title, and the equivalent credits (view credit conversion chart here) for each course.
    • Be sure to sign all required signature and submit.  

    Pro Tips for General University Elective Section: Students can also take abroad courses as General University Electives only which are guaranteed approval. Although university electives are guaranteed, students still need to complete the AAF for those courses. You do NOT need to add the SJSU Course Equivalent as the Study Abroad & Away office will provide it.

  • Step 3: Final Process

    Once your AAF has been approved and signed, you will receive a PDF copy of it via Docusign.

    • Save your copy of the signed AAF for your record.
    • Upload a copy of the signed AAF to your account on the Spartans Abroad Portal.
    • All signed AAFs will be used by the Registrar's Office to process your host university's transcript when it arrives at Registrar's Office at the end of your term abroad.

For GE Approvals

 
 
  • Step 1: Gather Documents

    It is your responsibility to make sure you are submitting accurate information to the Undergraduate Education Office for GE approvals. 

    • Compare the type of GE Requirement options that you can fulfill abroad with the unfulfilled GE requirements on your MyProgress.
    • Search the Course Equivalency Database (CED) to determine if any abroad courses have  pre-approved GE requirements. You will still submit your own request for approvals, but the CED provides a good overview of pre-approved GE requirements that you can use.
    • Download course information (course number, titles, syllabus) from your host university's Academic tabs on the Spartans Abroad Portal.  It is your responsibility to provide all relevant course information particularly the course syllabus to help the Undergraduate Education office with the GE review/approval process.
    • Review the Credit Conversion chart to know what the abroad course unit converts to at SJSU. You may need to submit more than one course for the same GE requirement if the abroad credits are less than the required SJSU units.
  • Step 2: Request GE Approvals

    Follow the instructions on the Office of Undergraduate Education (UE) website to request GE approvals via email. Go Now 

    Pro Tips:

    • Due to bandwidth issue, GE approvals may take 1-3 months as only one person reviews and approves all study abroad GE approval requests for the entire campus. Plan accordingly.
    • If you need urgent decision, please re-send a copy of your original email request to Dr. Julie Chisholm (julie.chisholm@sjsu.edu) with the subject line, "URGENT - GE Approvals Needed" and in the email explain the reason for the urgent request. 
    • If your case warrants an urgent review, then a decision will be rendered per usual. 
  • Step 3: Receive Your AAF

    Once a decision has been rendered, the UE office will initiate the GE Academic Approval Form (AAF) Docusign and send it to you via email for your record (see step 4).

  • Step 4: Final Process

    It is your responsility to maintain records of your approved courses.

    • Save your copy of the signed GE AAF for your record.
    • Upload a copy of the signed GE AAF to your account on the Spartans Abroad Portal.
    • All signed AAFs will be used by the Registrar's Office to process your host university's transcript when it arrives at Registrar's Office at the end of your term abroad.
